Poster Presentation Guidelines

 

A. Poster Dimensions Requirements & Set-Up Procedures

 

1.    The recommended poster size is A1 (23.39 inches by 33.11 inches). Oversized posters will obscure an adjacent poster and will be rejected.

Computer display equipment, sound or projection equipment, or freestanding displays are not permitted.

 

2.    Presenters will be assigned a specific time slot and numbered space for their poster presentation. Presenters will forfeit their opportunity to present their research if they are more than five (5) minutes late for their presentation.

 

3.    The conference staff will provide stands for the posters and Velcro tapes for mounting posters. Staff will also be available to assist with locating an assigned poster space.

 

4.    All posters must be set up in the time allotted before the session, and must remain up until the session ends. Presenters are to remain by their poster during the entire time of the assigned session time, to answer questions and be evaluated by poster judges. After the session ends, posters and materials should be promptly removed and the area cleaned up. 

 

5.    If the session ends and you think that you have not been evaluated by a judge, please come to the judges’ conference room.

 

 

B. Poster Design Suggestions & Tips

 

1.    Posters should be laid out in portrait style.

 

2.    All text material should be legible from about 4 feet away.

 

3.    Text Font should be legible at a distance of 1.5 meters (five feet) and text size should not be less than 18 points for text and 36 points for headings.

 

4.    Posters should include text and graphics and use colours to add emphasis and clarity. Please ensure there is enough contrast between the colour of the text and the background.

 

5.    Illustrations should be simple and bold, and photos should clearly show pertinent details.

 

6.    Displayed materials should be self-explanatory and should enhance the verbal presentation and discussion.

 

 

7.    Speak clearly and loud enough for observers to hear you.

 

 

Technical Requirements for Oral Presentation

 

1.    The ICMST 2016 computers will run MS PowerPoint 2010. Only MS PowerPoint (*.ppt or *.pptx) presentations will be accepted. The pre-installed font types available in MS Office 2013 should be used as standard font types.

 

2.    Movies and video files

-   If your presentation contains links to video files, it is essential that you bring not only your PowerPoint file, but also your video files. Most video files types (e.g. .MP4, MPEG, .wmv, .AVI, etc.) are accepted. All videos linked to PowerPoint slides must be tested and checked in advance to be sure they will work properly.

 

3.    Data format – images, audio and movies

-   Place all audio and movie files linked with the presentation into a single file folder (e.g. when transferring the presentation from your hard disk to removable drives such as USB sticks or when uploading it). Do not use any passwords or encryption for your files.

 

4.    Presentation format

-   Please use 4:3 as presentation format.

 

5.    File size

-   There is no size limit for presentations uploaded (it is however recommended that presentations do not exceed 500 MB).

 

6.    Saving of files

-   For onsite upload, the presentation has to be saved on a USB memory stick (which is preferred) or an external hard disk.

-   Please use only “WinZip” to pack your data.  

 

7.    Fonts

-   Do not use special fonts, which are not part of the standard PowerPoint package, as this will cause problems while uploading your file.

 

8.    Special characters

-   To avoid any compatibility problems, please do not use special characters (e.g. «, Ö, Ø, ñ, ε, ®, ý, }, {,etc.) to name your presentation or movie files.
